This privacy statement sets out the basis on which Ysgol Bro Gwaun stores and uses any personal data on its website (as defined in section 12.0 below).

In general terms you can visit our website without providing any personal data. Website usage information of a nature which does not allow us to identify personal details of individuals is collected using cookies (see our Cookie Policy).

Personal data is only collected if you provide it voluntarily, for example by contacting us through the “Contact Us” form on the website. If you do contact us, we collect any information provided on the form at submission. We use this information to respond to your original message and/or to conduct subsequent conversations with you.  Any information provided is not stored on our website or made available to any third parties.

 3.0       What information about you do we place on the website?

3.1       Photographs of participants in Ysgol Bro Gwaun activities

Participants in Ysgol Bro Gwaun activities will only have their photographs added to the website if we have received formal written permission from their parent/guardian/carer. During the course of Ysgol Bro Gwaun activities, authorised Ysgol Bro Gwaun personnel may take photographs of the participants undertaking the activities if and only if such formal written permission is already in place. We do so in order to provide a visual record of the activities for others interested in our school; to encourage participants, who are often keen to see their photos on the website and to demonstrate participation and enthusiasm to parents, guardians and carers. Photographs are checked by a designated member of Ysgol Bro Gwaun’s Senior Leadership before being published on the website. No information is provided with the photographs which would allow individual participants to be personally identified, unless their parent/guardian/carer has explicitly given permission for this to happen. Any photograph depicting a participant who does not have formal written agreement from their parent/guardian/carer will not be uploaded to the website and will be deleted immediately.

3.2       Names of members of the school community

The full name of a pupil or student will only be published on the website if we have prior written permission from their parent/guardian/carer. The full name of a member of staff will only be published on the website if we have their formal permission in writing.

4.0      How do we use personal information collected from or placed on the website?

We will never share your personal information, including photographs, with any third party without your express written permission in advance, unless required to do so for legal reasons. In the case of individuals aged under 18 we will not share their personal information with any third party without the express written permission of their parent/guardian/carer.

We reserve the right to disclose your personal information as required by law if we believe that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud and/or to comply with a judicial proceeding, court order, or legal process served on our website.

5.0       Where is the information stored?

Our website is hosted on a secure server in a data centre within the UK, the EU or the EEA, and access to the administration interface is restricted via strong passwords and is exclusively available via standard internet encryption protocols (SSL).

6.0       Marketing

The data stored on our website is not used for marketing purposes of any kind.

7.0       Access by third parties

Our authorised hosting provider is IONOS (www.ionos.com) who fully adhere to the requirements and provisions of the EU General Data Protection Regulation. IONOS’ privacy policy can be found at www.ionos.com/privacy-policy. IONOS are responsible for ensuring the secure maintenance of the web server and for providing or deleting data from the server as and when requested by our Data Protection Officer.

8.0    Access to and/or correction of your information

You have the right to request a copy of the information that we hold about you on our website. If you would like a copy of some or all of your personal information, email us using the details in section 14.0 below. Information will be provided in machine-readable form, typically as an Excel spreadsheet in a password-protected zip file.

We want to be sure that your personal information is accurate and up to date. You may ask us to correct or remove information which you think is inaccurate. To request corrections or deletions, please email us using the details in section 14.0 below.

The provision of this information, or the correction or deletion of the data, will be carried out on behalf of Ysgol Bro Gwaun by our authorised hosting provider IONOS (see section 7.0 above).
