Reporting Absences

At Ysgol Bro Gwaun, accurate registration and prompt communication are essential for ensuring every pupil is safe and accounted for.

This page provides quick access to our absence reporting procedures, medical evidence requirements, and term-time leave forms.

1. Reporting an Unplanned Absence (Illness)

If your child is too unwell to attend school, please notify the school as early as possible.

How to Report:

· Eduspot: Send a message via the message service within the app · Email: Send a message to attendance@ysgolbrogwaun.com with your child’s full name, year group, form group, and the specific reason for absence.

· Telephone: Call the attendance office on 01348 871109 and leave a message on the dedicated attendance line.

Please Note: We ask that parents and carers contact the school on each day of absence.

2. Medical & Dental Appointments

Routine medical and dental check-ups should be arranged outside of school hours wherever possible.

When unavoidable appointments occur during the school day:

· Advance Notice: Inform the school office at least 24 hours prior to the appointment.

· Evidence Required: Provide official evidence of the appointment in order for the absence to be authorised.

· Signing Out: Pupils must be collected from the main school reception by an authorised adult and signed out before leaving campus.

3. Submitting Medical Evidence

To comply with statutory attendance guidelines, medical evidence is required for prolonged illness-related absences or where repeated illness absences occur.

Acceptable Evidence Includes:

· Doctor or hospital appointment cards/letters

· Text message or email appointment confirmations

· Prescriptions or labelled medication packaging displaying the pupil’s name and date

· Formal correspondence from a doctor, consultant, or health professional Evidence can be emailed directly to attendance@ysgolbrogwaun.com or dropped off at reception. Where requested evidence is not provided, absences may be recorded as unauthorised.

4. Term-Time Leave & Exceptional Holidays

Headteachers may not grant leave of absence during term time unless exceptional circumstances apply. Taking children out of school during term time disrupts learning and can severely impact progress.

How to Request Leave:

If you wish to request leave for a holiday, please write to the Headteacher explaining the reason for the request and including the dates and details of the holiday.

Any unauthorised term-time leave or unapproved holidays will be recorded as unauthorised absences and may be referred to the Local Education Authority and a Penalty Notice may be issued.
